Your Leads Are Going Cold While You're on the Job
27% of calls to home service businesses go unanswered. The average response time is 47 hours. AI marketing automation for service businesses fixes both problems without adding a single staff member. We build these systems for trades and service companies across Canada.
How much does a slow response cost your business?
I worked with a plumbing company in Surrey that was spending $2,400/month on Google Ads. Their average response time was 6 hours. We audited their pipeline and found 38% of form submissions had never received any contact beyond the auto-reply. That is $912/month in leads they paid for and never touched.
The problem was not the ads. And it was not the website. It was what happened after the lead arrived.
Here is what the data says about response time:
And the dollar cost? If your average job is worth $800 and you are missing one lead per day: that is $292,000 in annual revenue left in your voicemail. Not a rounding error.
What we build and how long it takes
Most agencies give you a list of 12 tools. We give you an order of operations. Here is what we actually build, and in what sequence.
Missed call text-back
What it does: When a customer calls and nobody answers, the system sends a text within 60 seconds: "Sorry we missed your call. How can we help?" That lead stays warm instead of calling the next result on Google.
Setup time: Live in 3 to 7 days.
What to expect: For a plumbing company averaging 6 missed calls per week, a 40% response rate on that text sequence means 2 to 3 recovered jobs per week that previously went to competitors.
Lead follow-up sequence (6-touch, 30 days)
What it does: A new lead submits a form or sends a text. Within 60 seconds, a personalized SMS fires. At 5 minutes, a follow-up email. If no reply: SMS at hour 3, email at day 1, SMS at day 3, final email at day 7. After 30 days: moved to a monthly re-engagement list. Each message references the specific service they asked about.
Setup time: 7 to 14 days (including copywriting for your specific services).
What to expect: 92% of leads need 5 or more touches. Most businesses stop at 2. Adding the remaining 4 touchpoints regularly recovers 15 to 25% of leads that otherwise go cold.
Post-job review request (24-hour trigger)
What it does: When a job is marked complete in the CRM, the system waits 24 hours, then sends a single SMS with a direct link to your Google Business Profile review page. One tap. No friction. The message uses the customer's first name and mentions the service they had done.
Setup time: 3 to 5 days after missed call and follow-up are live.
What to expect: Manual review asks get a 5 to 10% response rate. Automated, well-timed texts typically hit 15 to 25%. Going from 12 reviews to 80 reviews changes how much of your existing traffic converts. It is the cheapest conversion rate optimization you can do.
Appointment reminders (reduce no-shows)
What it does: Automated SMS and email reminders at 24 hours and 2 hours before the appointment. The reminder includes the date, time, technician name, and a link to reschedule rather than ghost.
Setup time: 3 to 5 days, integrated with your existing booking system.
What to expect: No-show rates typically drop 25 to 40% with automated reminders. For a business running 20 appointments per week at a 15% no-show rate, that is recovering 3 jobs per week.
Dormant customer reactivation (90-day trigger)
What it does: Any customer who has not booked in 90 days gets a seasonal check-in. "Winter is coming, want us to check your furnace?" for HVAC. "Spring is here, time for drain cleaning?" for plumbing. Specific to your trade and the calendar month it fires.
Setup time: Builds on the existing CRM. 5 to 7 days to set up the segment and sequence.
What to expect: Past customers are your cheapest lead source. They already trust you. A 2 to 5% response rate on a list of 500 past customers is 10 to 25 booked jobs per campaign, at near-zero cost.
Why we build on GoHighLevel (and when we don't)
I want to be direct about this, because most agencies either hide the platform they use (so they can lock you in) or oversell it as magic (because they get a commission).
GoHighLevel is the right platform for most trades and service businesses in the $200K to $2M revenue range. Here is why, and here is what it actually costs.
What GHL replaces: A separate CRM ($50 to $100/mo), a texting tool like EZTexting ($30 to $100/mo), an email marketing tool like Mailchimp ($50 to $100/mo), a review request tool like Birdeye ($300+/mo), and an appointment booking tool ($30 to $50/mo). Total stack without GHL: $460 to $650/month.
GHL Starter plan: $97/month. Covers unlimited contacts, the core CRM, SMS/email automation, and appointment booking. For most 1 to 5 person service businesses, this is enough.
Realistic all-in cost for a plumber sending 300 texts per month: GHL Starter ($97) plus SMS usage at $0.015 per text (300 texts = $4.50), plus email usage at $0.001 per email (1,000 emails = $1.00). Total: approximately $103 to $115/month in ongoing costs. Add a phone number ($1.50/mo) and you are looking at $115 to $125/month all-in. That is not the $97 headline number, but it is not $500 either.
Canadian note: Canadian phone numbers do not require 10DLC registration (that is a US regulatory requirement). You do not pay the $20 to $30/month registration fee or wait the 4 to 8 weeks for brand registration approval. This is a real advantage if you are comparing US-based agency pricing that bakes in 10DLC costs.
When GHL is NOT the right call: If you are already on ServiceTitan at $800+/month with 15 or more employees and active dispatch workflows, do not rip and replace. ServiceTitan has deep field service features (dispatching, technician GPS, job costing) that GHL does not match. Stay on ServiceTitan and layer GHL's marketing automation on top via a Zapier integration, or just use ServiceTitan's native follow-up tools. We can advise either way.
We are a Jobber partner. We have no affiliate relationship with GoHighLevel that changes our recommendation. We recommend what fits.
Which platform fits your business?
| Platform | Price | Best for | Automation depth | You own it? |
|---|---|---|---|---|
| GoHighLevel | $97 to $297/mo | 1 to 15 person service businesses wanting full marketing automation in one tool | High. SMS, email, review requests, booking, pipeline automation all built-in. | Yes. Your account, your data, your workflows. |
| Jobber | $29 to $69/mo | Small trades businesses (1 to 10 staff) that prioritize quoting, scheduling, and invoicing | Low. Good for operations. No SMS follow-up sequences or advanced marketing automation. | Yes. But limited data portability on lower tiers. |
| Housecall Pro | $65 to $200+/mo | Home service businesses (5 to 20 staff) that want online booking, dispatching, and basic follow-up | Medium. Review requests built-in. SMS automation limited. Less configurable than GHL. | Yes. |
| ServiceTitan | $8,000 to $15,000+/yr | HVAC, plumbing, electrical companies with 10+ employees and dispatching needs | High. Deep field service features, but marketing automation is an add-on, not the core. | Yes, but the switching cost is high once you are embedded. |
Prices as of April 2026. ServiceTitan pricing varies significantly by contract and company size. Jobber pricing based on Core and Connect tiers. GHL usage fees (SMS, email) are separate from base subscription.
What you should NOT automate (and what to do instead)
This is the section no agency wants to write. But it is worth being direct.
AI chatbots with no escalation path. An AI chatbot that can answer basic questions ("Do you serve North Vancouver?") is useful. An AI chatbot that tries to handle an angry customer with a burst pipe at 2am and cannot route to a real person is reputation damage waiting to happen. Every AI touchpoint needs a clear handoff trigger. If the conversation hits "I need to speak to someone now," a human needs to be reachable within minutes, not hours.
Robotic review responses. Automated review responses that sound templated ("Thank you for your wonderful feedback! We appreciate your business.") are worse than no response. They signal to both the reader and Google that nobody is actually paying attention. Write 5 to 10 solid response templates and use them as starting points, with actual edits before posting. Or use AI to draft, then have a person approve. The 30-second approval is worth it.
Cold SMS to non-opted-in contacts. Under CASL (Canada's Anti-Spam Legislation), you cannot send commercial text messages to contacts who have not given express consent. This is not a technicality. The fine is up to $10 million per violation for organizations, and the law is actively enforced. Only automate SMS to contacts who have explicitly opted in, which means they filled out a form, called you, or texted you first. We set up compliant consent capture as part of every GHL build.
The position I take with every client: AI handles the repetitive work. You handle the relationship. When those lines get crossed, automation becomes a liability.
What Canadian businesses need to know about marketing automation compliance
CASL (Canada's Anti-Spam Legislation): Express consent means the contact explicitly asked to receive messages. Implied consent applies when someone has done business with you in the past two years or made an inquiry in the past six months. Your GHL workflows need to know which bucket each contact falls into. We set up consent tagging and audit existing lists as part of every build.
PIPEDA: Your website privacy policy must disclose what data you collect, how you use it, and who you share it with. If you use a third-party CRM (you do), that needs to be named. Most service business websites either lack a privacy policy or have a generic one that does not mention the actual tools being used. We flag this during the audit.
Quebec Law 25 (Act Respecting the Protection of Personal Information): Stricter than PIPEDA in several areas. If you serve Quebec customers, you need a Privacy Officer designation, a privacy impact assessment for new technologies, and specific consent language. Worth addressing before you scale SMS automation into Quebec.
10DLC (US only): US businesses sending commercial SMS must register their brand and campaigns through 10DLC, a carrier-level registration system. Canadian numbers are exempt. This matters because US-based agencies often quote 10DLC registration fees ($20 to $30/month) and waiting periods (4 to 8 weeks) that simply do not apply to Canadian numbers. If you are running a Canadian business serving Canadian customers, your GHL SMS automation can go live faster and cheaper than the US equivalent.
How AI search is changing local service businesses
One of our clients, Nelson Huang (CPA), had a prospect find his firm through ChatGPT. The prospect asked ChatGPT for CPA recommendations in their area. ChatGPT cited Nelson's firm. The prospect booked a consultation the same day. The reason it worked: Nelson had clear service descriptions, consistent business information across directories, and 40+ recent Google reviews. The automated follow-up system closed the deal.
Google AI Overviews now appear in 40% of local business queries (LocalFalcon, 2026). The businesses being cited are the ones with structured data on their sites, complete and active Google Business Profiles, and review velocity that signals ongoing activity.
For trades businesses: this means your review automation and GBP setup are now doing double duty. They help you rank in the local map pack and they signal to AI systems that your business is active and trustworthy. Getting 15 reviews per month consistently is more valuable than getting 200 reviews once and then going quiet.
One stat worth knowing: AI chat platforms generate an average of 0.39 leads per month per HVAC business (Data Driven Trades, SearchLightDigital.io, 955 businesses tracked, December 2025). Google Business Profile generates 124 leads per month for the same businesses. Do not oversell AI chatbots as a lead generation tool. The real ROI is using automation to convert the leads Google already sends you.
