How Many Leads Did You Pay For and Never Follow Up?
Most service businesses lose 30% or more of their paid leads to slow follow-up, missed calls, and no system behind the intake. A CRM with automation fixes the gap between getting a lead and getting paid.
What happens when leads come in but nobody follows up?
Missed calls, lost revenue
HVAC companies miss 27% of inbound calls, losing $45K to $120K per year in revenue they already paid to generate.
Slow response kills conversion
82% of consumers expect a reply within 10 minutes. The average business responds in 42+ hours. That gap costs more than your ad budget.
Leads stuck in email inboxes
Form submissions sit in a shared inbox. Nobody owns the follow-up. By Friday, three leads from Monday are buried under other emails.
Ad spend with no tracking
You spend $3K/month on Google Ads. 30% of those leads get zero follow-up. That is $1,000+/month you paid for and threw away.
Estimates sent and forgotten
You send a quote. The customer goes quiet. Nobody follows up on day 3, day 7, or day 14. The job goes to whoever called them back.
Past clients never hear from you
Your best source of repeat work sits in a spreadsheet. No seasonal reminders. No check-ins. No referral asks. Past clients call whoever marketed to them last.
How much does slow follow-up actually cost?
Which CRM is right for your business?
Most "CRM consultants" sell one platform. We have set up, migrated, and managed multiple CRM platforms across different industries. Here is what we have learned about each one.
GoHighLevel
Best for: owner-operated businesses that want marketing automation, SMS follow-up, appointment booking, and reputation management in one platform. Replaces 4 to 6 separate tools.
Watch out for: It ships empty. No templates, no pipelines, no automations are pre-built. Most businesses buy it, log in, get overwhelmed, and abandon it within 60 days. The platform is powerful but only if someone builds it out. We have a dedicated GoHighLevel setup service.
ServiceTitan
Best for: HVAC and plumbing companies with 10+ employees, dispatching needs, and high call volume. Deep field service features.
Watch out for: Expensive. Complex onboarding. Overkill for a 2 to 5 person operation. If you run a smaller shop, the licensing cost alone exceeds what most small businesses spend on marketing.
Jobber
Best for: Small trades businesses (1 to 10 employees) that need quoting, scheduling, and invoicing. Simple, clean interface.
Watch out for: Limited marketing automation. No built-in SMS follow-up. No review request automation. You will need add-on tools for lead nurture, and those tools do not always integrate cleanly.
Housecall Pro
Best for: Home service businesses that want online booking, dispatching, and basic follow-up in one package.
Watch out for: Marketing features are basic compared to GoHighLevel. Review generation exists but is not as configurable. Works well as a service delivery tool, but do not expect it to replace your marketing stack.
We do not have a financial relationship with any of these platforms. We recommend what fits. If you already own a CRM and it is not working, we audit what is broken and fix it.
What does an automated follow-up system actually look like?
Most businesses think automation means a single auto-reply email. That is not what we build. Here is the full architecture:
Immediate response (0 to 5 minutes)
Trigger: Form submission, phone call, or text message.
Action: Personalized SMS within 60 seconds confirming receipt, referencing the service they asked about. Follow-up email at 5 minutes with next steps.
This alone beats 95% of your competitors. The average business takes 42+ hours. You respond in under a minute.
Short-term follow-up (hours 1 to 72)
Trigger: Lead has not replied to initial messages.
Action: Second SMS at hour 3. Email with relevant info (pricing guide, FAQ, or case study link) at hour 24. Third SMS at hour 48. Each message adds value, not pressure.
Estimate follow-up (days 1 to 14)
Trigger: Quote sent, no response.
Action: Day 3 check-in ("Any questions about the estimate?"). Day 7 value add (relevant project example or seasonal angle). Day 14 final follow-up. Stops automatically when the customer replies or books.
Post-job triggers
Trigger: Job marked complete in CRM.
Action: Google review request (SMS with direct link) at day 1. Thank-you email with referral ask at day 7. Seasonal maintenance reminder at 6 months.
Re-engagement (past clients)
Trigger: 90+ days since last job, no recent contact.
Action: Seasonal check-in email or SMS. "Winter is coming, want us to check your furnace?" for HVAC. "Time for your spring drain cleaning?" for plumbing. Specific to your trade and calendar.
Every message stops when the customer replies. No one gets spammed. The system is built to feel like a real person following up, not a robot.
No competitor in the CRM consulting space publishes this level of detail. We do because this is what we actually build for clients. Read more about the follow-up system itself.
How does the CRM setup process work?
Audit
We map how leads reach you today: forms, calls, texts, referrals. We find the gaps. Where are leads falling through? How long does follow-up take? Which leads are getting zero contact? This takes one 30-minute call.
Build
We configure your CRM: pipeline stages, contact tags, lead sources. Then we build the automated follow-up sequences, review request triggers, and appointment booking. Built in your account, not ours.
Test
Every automation is tested with real scenarios before going live. We submit test forms, trigger test calls, and verify every SMS and email fires correctly. We fix timing issues and edge cases before your first real lead hits the system.
Train and launch
You get a recorded walkthrough of your CRM and written documentation. Your team knows where to find leads, how to update stages, and what happens automatically. No ongoing contract required unless you want monthly management.
What changes when you have a CRM with automation?
Before
- Leads sit in email for hours or days
- Follow-up depends on memory and sticky notes
- No idea which ads produce actual jobs
- Estimates sent and never followed up
- Past clients forgotten after the invoice
- Review requests happen manually (if at all)
- Missed calls go unreturned
- Referrals not tracked or asked for
After
- Every lead gets a text within 60 seconds
- Automated sequences handle follow-up for 14 days
- Every lead tracked from ad click to completed job
- Estimate follow-up fires at day 3, 7, and 14
- Past clients get seasonal reminders automatically
- Review requests sent after every completed job
- Missed calls trigger automatic callback texts
- Referral asks go out at day 7 post-job
How does CRM connect to the rest of your marketing?
We set up CRM as the center of your marketing system, not an add-on. Here is what connects:
Google Ads tracking. Every form submission and call from a Google Ad is tagged in the CRM with the campaign, keyword, and ad group. You see which keywords produce booked jobs, not just clicks. This is how you stop wasting ad spend. More on Google Ads for service businesses.
Website forms. Form submissions go directly into the CRM pipeline. No email forwarding. No copy-pasting. The lead enters the system and automation starts immediately.
Email campaigns. Your CRM holds your customer list, segmented by service type, job status, and location. Seasonal campaigns, promotions, and newsletters send from the same system. No separate email tool needed. More on email marketing.
Review generation. When a job is marked complete, the CRM triggers a review request via text. The customer taps a link and goes straight to your Google Business Profile. Consistent review volume is the highest-leverage factor for local pack rankings. More on reputation management.
Referral workflows. Seven days after a completed job, an automated referral ask goes out. Only 18.6% of service operators ask for referrals systematically. Referred clients have 37% longer retention and 16% higher lifetime value.
